Organizing your team’s work schedule is seamless with Snappy Staff. This guide will assist you in creating a rota that suits your team’s needs perfectly.

Step 1: Access the Rota Section

Begin by navigating to the home screen and tapping on the View Rota option.

Step 2: Enter Edit Mode

Tap on the More … button, located at the bottom right of the screen, to access additional options. From the menu that appears, select Edit Rota to begin modifying or creating your rota.

In this section, you will encounter two options:

  • Create a New Rota: This option allows you to build a rota from scratch, giving you a fresh canvas to plan your week.
  • Copy from a Previous Week: If you wish to maintain consistency with a previous week’s rota, use this option. It saves time and serves as a good starting point for weeks with similar schedules.

Note: Opting to copy from a previous week initiates an automatic conflict check with holidays. Any conflicting shifts are identified and removed to avoid scheduling issues.

Step 3: Building Your Rota

Now, it’s time to construct your rota for the selected week. Here are the steps and features you can utilize:

3.1 Staff List and Shift Times

On the left, you’ll find a list of all your staff. Double-tapping on a staff member’s name will select them, displaying the preset shift time for that individual.

3.2 Editing Shift Times

You can alter the start or end time of a shift by tapping on the respective time.

Note: The system remembers the set shift time for each employee independently, facilitating quick adjustments as you drag them to different days.

3.3 Managing Shifts

In this step, you will be managing shifts by adding new ones, adjusting existing ones, or removing unnecessary ones. Here’s how you can do it:

  • Tap to Add: With a staff member selected, you can simply tap on a respective day to quickly add a pre-set shift time for that individual.

  • Drag and Drop to Create or Adjust: Even without a staff member selected, you can drag and drop to create new shifts or adjust existing ones. You can drag an employee’s name onto a day to create a new shift or drag shifts between days to adjust them.
 
Dragging existing shift off of rota
  • Removing Shifts: If a shift is no longer needed, you can remove it by dragging it from the day section on the right back to the employee list on the left. A delete overlay will appear during this action, indicating that the shift will be removed if dropped here.

Step 4: Publishing Your Rota

Once you have fine-tuned your rota, tap on the tick icon located at the top right of the screen. To finalize, tap “Publish”. This action sends the shifts to all the scheduled staff, ensuring everyone is informed of their schedule.
